Event Terms and Conditions

The Terms and Conditions detailed below apply to all entrants participating in Dorset and Somerset Air Ambulances (DSAA) 5K challenge, The Twilight Shift. 

Completion of a registration form and payment of entry fees acknowledges acceptance of these Terms and Conditions by the participant. 

1)	Entry
a)	Participants under the age of 16 years MUST be accompanied by an adult, who should maintain close contact at all times.  Adults may be accompanied by a maximum of 3 under 16-year-olds.

b)	Online entry closing date is Thursday 4th July 2024. Entries can be taken on the day unless all spaces have been filled. There is a maximum of 500 places available and entry will close early if maximum numbers are reached.  This will be advertised on our website prior to the event. 

c)	Places are non-transferrable.  No refunds will be given, and places cannot be deferred. 

d)	Payment of the entry fee does not include any insurance protection for accident, sickness, or negligence of any individual participant. Any accident or injury caused by the participant�s actions will be the full responsibility of said participant. 

e)	T-shirts will be provided free of charge for the first 100 entrants and will be available to collect at the event.  

f)	All participants will receive a certificate for completing the course. 


2)	The Event
a)	This event is non-competitive, and times will not be recorded. 

b)	Participants may run, jog or walk the course.

c)	Participants are to arrive no earlier than 3pm.  The event will commence at 5.30pm and gates will close at 8.30pm. 

d)	Onsite parking will be provided free of charge, however DSAA cannot accept any responsibility for any damage or loss which may occur whilst using this facility. 

e)	The course of The Twilight Shift includes a variety of terrain and as such may not be suitable for wheelchair or pushchair/pram access.  Please contact fundraising@dsairambulance.org.uk to discuss any potential issues. 

3)	Conduct of Participants
a)	All participants agree to abide, and follow the advice, direction, and instruction of DSAA event officials to ensure a safe and successful event.

b)	We ask that all participants and supporters do not use aggressive or abusive language towards our organisers, marshals, officials, volunteers or other participants.  

c)	You should avoid behaving in a way which may cause injury or harm to other participants and/or supporters or which may cause offence or damage to the reputation of DSAA.

d)	DSAA respectfully asks that participants and supporters do not drop litter and use the facilities available for disposal or take litter home with them.

e)	All participants and supporters are required to refrain from smoking tobacco products and/or e-cigarettes at The Twilight Shift.


4)	Health and Safety
a)	Participants are fully responsible for their actions whilst attending the event. This includes before, during and after the challenge itself. DSAA does not accept responsibility for the actions of participants nor the consequences of any such actions.  

b)	Pregnant women should consult their GP, and/or, midwife before registering for this event.

c)	Participants are strongly discouraged from using earphones (i.e., MP3, iPod, etc) on the grounds of safety.

d)	Participants MUST adhere to current government and DSAA COVID guidelines at all times.  

e)	Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the participant. If the situation arises that you are not capable of making the decision to call the emergency services, the Participant agrees that the organisers or a member of the public may call them. In this situation, the Participant still accepts the costs and consequences of such action. 

f)	Each participant, upon completing the registration process, agrees that they are physically and mentally capable of taking part. If there is any doubt, the participant should consult their GP.

g)	Participants may be refused the right of participation in The Twilight Shift, where the organiser believes the participant�s safety and/or the safety of others, may be compromised.

h)	Participants must not put themselves at unnecessary risk when undertaking the event and should follow the route given.

i)	Dogs, other than support dogs, WILL NOT be permitted at this event.  


5)	Cancellation
a)	Should The Twilight Shift be cancelled or delayed due to unforeseen circumstances, DSAA will endeavour to stage the event at a later date.  In such a case DSAA will endeavour to advise participants in writing, where possible.  DSAA�s liability in respect of costs and expenses which participants may incur as a result of such cancellation or delay will amount to the sum paid for entry into the event only.

b)	Should The Twilight Shift be cancelled refunds will be issued upon application up to, and including, Monday 15th July 2024. 


6)	Miscellaneous
a)	Participants MUST ensure that an event official has checked you back in at the end of the challenge, so we have a record that you have safely completed the route.  Participants unable to do this for any reason should contact the Communications number given at the start. 

b)	Participants agree that images taken during the event may be used by DSAA to promote the work of the charity and for advertising of future events. 


7)	Sponsorship
a)	All sponsorship money to be forwarded to DSAA no later than Friday 16th August 2024. 

b)	Sponsorship money can be paid to DSAA using the following methods

8)	Use of Your Information
a)	When you register for The Twilight Shift, we collect personal data relating to you and anyone else that you register.  This information will be used for the purposes of organising, administering and staging the event.  

b)	Personal information held by Dorset and Somerset Air Ambulance is handled in accordance with legislation and our Privacy Statement which can be found at www.dsairambulance.org.uk/privacy-statement

c)	No personal information of any under 16-year-old participant will be used in any publicity materials without the written consent of their parent or legal guardian, but we may use images where children are incidentally included, for example in the background of participation.

d)	Subject to c) above, please only register a participant under the age of 16 years if the participant�s parent or legal guardian is happy for their images to be used in the manner described.
